WhatsApp for education: a playbook for schools, tutors and online courses

Learners miss the portal update and the email. They rarely miss WhatsApp. Here is how to use it for enrolment, reminders, deadlines and follow-up, without breaking Meta's rules or your learners' trust.

Class on WhatsApp

WhatsApp for education means using the official WhatsApp Business Platform to send learners the messages that keep them on track: enrolment details, class reminders, schedule changes, deadlines and replays, plus the occasional course launch. It works when learners opt in, reminders use approved utility templates, and promotions are kept separate as marketing.

This playbook is for online schools, bootcamps, tutors, training providers and course creators. It covers eight plays, each with a trigger, the Meta template category it will most likely fall into, sample copy, how to run it in Buddy today and the metric that tells you it is working. It also covers consent (including for younger learners), cost and what needs an integration.

Why use WhatsApp for education?

Because that is where learners already are. WhatsApp has more than 3 billion monthly users, according to Meta, and for many students it is the app they check between lectures, on the bus and before bed. Learning portals and email do an important job, but an update that lives behind a login is often seen too late.

Broadcasts on WhatsApp also tend to get read. SendPulse's 2026 broadcast benchmarks found a median read rate of 63% across 355 accounts (November 2025 to April 2026), with a median click rate of 0.6%. Treat that as one vendor's sample, not a promise, and note that people can turn off read receipts, so real reads are usually higher than reported. The low click rate is the more useful lesson: WhatsApp is best at getting a message seen, so put the important information in the message itself.

The catch is that education messages are personal and time-sensitive, and learners will block a number that spams them. That is why the rules below matter as much as the plays.

What are the rules for messaging students on WhatsApp?

Three rules shape everything. First, you need opt-in. Meta's Business Messaging Policy says you may only contact people who have given you their number and agreed to receive messages from you, and its opt-in guidance says the opt-in must make clear that the person is agreeing to receive messages from your business on WhatsApp. Second, the 24-hour window: when a learner messages you, you can reply freely for 24 hours; outside it, every message must be an approved template (Meta). Third, templates have categories, and the category decides price and delivery rules.

Meta's categorisation guidance says utility templates "are typically triggered by a user action or request", and says they must not contain promotional content. Marketing templates cover awareness, sales and re-engagement. Mixed content, such as a reminder with a discount attached, is treated as marketing. Here is how common education messages usually land:

Meta makes the final decision at review and can recategorise a template later if its content drifts. Our guide to WhatsApp message templates walks through writing each type so it gets approved.

Ask plainly, record it, and make leaving easy. Say what people are signing up for ("class reminders and course updates from BrightPath on WhatsApp") and how often. In the UK and EU, consent under GDPR must be freely given, specific, informed and unambiguous, and the ICO is clear that pre-ticked boxes or silence do not count. If you want to send both reminders and marketing, it is good practice to ask for each separately.

If you teach children or teenagers, extra care applies. Check WhatsApp's own age requirements, and where the law requires it, get consent from a parent or guardian, or message the parent or guardian instead of the learner. The rules differ by country and by the type of organisation you are, so take advice for your situation. This article is not legal advice.

The WhatsApp education playbook: eight plays

Each play uses features that ship in Buddy today unless it says otherwise. Where a play would ideally fire from your learning management system (LMS) or enrolment system, we say so, and describe the manual version you can run now.

1. Turn enquiries into subscribers

  • Trigger: someone scans a QR code on your prospectus, open-day banner or course page, or taps your opt-in link in an email.
  • Category: the welcome message is a template (the person has not messaged you, so there is no open window). If it pitches courses, it is marketing.
  • Sample copy: Hi {{1}}, thanks for joining BrightPath updates on WhatsApp. We'll send course dates and open days here, about twice a month. Reply STOP any time.
  • In Buddy: your hosted opt-in page (usebuddy.app/yourname) with its QR code, plus an automation on "When someone subscribes" that sends the approved welcome template. On your own site, the Buddy Embed form (beta) does the same job.
  • Metric: the Audience growth chart on your Dashboard, and the source recorded on each contact in Audience.

2. Enrolment confirmation and orientation

  • Trigger: a learner enrols or pays.
  • Category: utility, because it follows up on their enrolment (Meta's utility templates guide describes these as responses to a user action).
  • Sample copy: Hi {{1}}, you're enrolled in {{2}}. Orientation is on {{3}} at {{4}}. Your login details are in your email. Reply here if anything is missing.
  • In Buddy today: import new enrolments by CSV (name, phone) with a cohort tag such as "cohort-oct", then send a WhatsNew to that tag using your approved utility template. Only import people who agreed to WhatsApp messages. Firing this automatically from an LMS or payment system needs the Buddy API (public beta from 12 October 2026, when sending approved templates arrives) or Buddy Connect (planned).
  • Metric: delivered and read rates on the WhatsNew detail page, and how many learners reply with access problems.

3. Class and live session reminders

  • Trigger: a set time before each session, for example the evening before and one hour before.
  • Category: utility, as long as it is about a class the learner is enrolled in and sells nothing.
  • Sample copy: Reminder: {{1}} starts at {{2}} today. Join here: {{3}}. The replay will be shared after class. Add a Link button to the session room.
  • In Buddy: schedule a WhatsNew for each cohort tag using "Schedule for later". The ready-made Appointment reminder starter on the Templates page is a good base.
  • Metric: read rate before the session, compared with attendance from your own class records.

4. Timetable and venue changes

  • Trigger: a class moves, a tutor is ill or a room changes.
  • Category: utility (essential information about their class).
  • Sample copy: Change to {{1}}: tonight's session now starts at {{2}} in {{3}}. Everything else is the same. Reply if this doesn't work for you.
  • In Buddy: "Send now" to the affected tag. Replies land in the Inbox, where your team can answer inside the 24-hour window.
  • Metric: delivered within minutes, and the number of "where is it?" questions afterwards.

5. Deadline nudges

  • Trigger: 48 hours and 24 hours before an assignment or exam registration closes.
  • Category: utility, if it is about the learner's own course and has no promotion attached.
  • Sample copy: {{1}}, your {{2}} submission closes on {{3}} at {{4}}. Upload it here: {{5}}. Need help? Reply to this message.
  • In Buddy: scheduled WhatsNews per cohort tag. Today every learner in the tag receives it. Sending only to learners who have not submitted needs that status from your LMS, which is what the API makes possible.
  • Metric: on-time submission rate, from your LMS, before and after you start sending.

6. Replays and resources on request

  • Trigger: a learner messages a keyword such as REPLAY or WORKSHEET.
  • Category: no template needed. The learner opened the conversation, so your reply is a service message inside the 24-hour window.
  • Sample copy: Here's the replay from Tuesday's session: {{link}}. The worksheet is on page 2 of the module.
  • In Buddy: an automation on "When a message comes in" with the keyword "replay" that sends the link, plus "Add a tag" (for example "asked-replay") so you can see who is catching up. Remember that from 1 October 2026 Meta charges for service replies too.
  • Metric: keyword volume per week, which also shows you which sessions people miss.

7. Answer questions from one shared inbox

  • Trigger: any reply to a reminder or announcement.
  • Category: service messages inside the 24-hour window.
  • Sample copy: keep it human. Yes, it will be recorded. You'll get the link here within an hour of the class ending.
  • In Buddy: the Inbox holds every conversation on your number, and Responses sorts replies into Interested, Question, Purchased, Follow up and Not now so tutors can clear questions first. Invite tutors as Members (they can send and reply) and keep admin settings with Admins. When Buddy AI is on, "Suggest a reply with AI" drafts an answer a person reviews before sending. An automation on "When a reply is categorized" as Question can notify the team.
  • Metric: time to first reply, and questions answered within the 24-hour window.

8. Launch the next course or intake

  • Trigger: a new course, the next cohort or an early-bird deadline.
  • Category: marketing (see Meta's marketing messages overview).
  • Sample copy: {{1}}, applications for {{2}} open on Monday. Past learners get first access until Friday. See dates and fees: {{3}}
  • In Buddy: start from the Course launch starter, send to a tag such as "alumni" or "interested-data", and schedule it. Send only to people who opted in to hear about new courses.
  • Metric: click rate and replies tagged Interested, then enrolments from your own system. Buddy does not attribute revenue yet; that is coming with integrations.

What can you run today, and what needs an integration?

Most education messaging can run today on tags and scheduled WhatsNews. What needs an integration is anything that should fire from a record in another system, such as a new enrolment, a missed class or a late submission.

Today the API can already add subscribers (so an enrolment form can push new learners into Buddy with tags). Sending approved template messages through the API arrives with the public beta on 12 October 2026, and transactional messages are planned for release 1.1 shortly after. Connect is planned but has no LMS integrations announced yet, so for an LMS the API is the route.

What does WhatsApp messaging cost for a school?

Meta charges per delivered template message, at rates that depend on the category and the learner's country (Meta pricing). Marketing templates are always charged. Utility templates are charged outside the 24-hour window. From 1 October 2026, Meta also charges for service replies and utility messages inside the window, with service replies priced at the utility rate (Meta). Two practical consequences. Keep reminders strictly utility so they stay at the lower rate, and send fewer, better messages: one clear reminder beats three vague ones. Meta bills these fees to your own WhatsApp Business account; Buddy does not mark them up. Buddy's own plans are on the pricing page.

One more limit to plan for: new WhatsApp Business accounts start with a cap on how many unique people they can message in 24 hours, beginning at 250 and rising as you use it with good quality (messaging limits). How do you set this up in Buddy?

Frequently asked questions

Can a school use WhatsApp to send reminders to students?

Yes, through the WhatsApp Business Platform, as long as students (or, where the law requires it, their parents or guardians) have opted in. Class and deadline reminders about a course the student is enrolled in usually qualify as utility templates.

Are class reminders utility or marketing templates?

Usually utility, because they relate to something the learner enrolled in and are not promotional. Add an offer or an upsell and Meta will classify the template as marketing. Meta makes the final decision at review.

Is a WhatsApp group better than broadcasts for a class?

Groups suit discussion among learners who know each other. Broadcasts suit announcements, because each learner gets a private message, nobody sees anyone else's number, and replies come only to you. You can use both.

Can Buddy send a message automatically when a student enrols in my LMS?

Not by itself today. You can import enrolments by CSV and send to a tag, or push new learners in through the subscribers API. Automatic template sends from your own systems arrive with the Buddy API public beta from 12 October 2026.

Can I message students in the United States?

Utility reminders and service replies, yes. Meta does not currently deliver marketing templates to United States phone numbers, so course promotions will not reach US learners on WhatsApp.
