WhatsApp team inbox: how to run one number with multiple agents

When one phone can't keep up, a shared inbox lets your whole team answer customers from the same WhatsApp number. Here is how it works on the official platform, how Buddy's Inbox and Responses fit together, and the habits that keep replies fast.

Team inbox

A WhatsApp team inbox is a shared workspace where several people read and reply to the messages customers send to one business number. Instead of passing a phone around, everyone works from the same list of conversations in a browser. It runs on Meta's WhatsApp Business Platform, which lets software send and receive messages for your number.

This guide explains how a shared inbox works, what changes when you move off a single phone, how the 24-hour customer service window shapes the way a team replies, how Buddy's Inbox and Responses pages divide the work, how roles and per-number access keep things safe, and the team habits that matter more than any tool.

What is a WhatsApp team inbox?

Think of it as a help desk built for chat. A shared inbox gives you three things a single phone can't:

  • One number, many people. Customers message the number they already know. Your team replies from it, and the customer sees one consistent business.
  • Shared history. Anyone picking up a conversation can scroll back through what was said before, instead of asking a colleague to forward screenshots.
  • Control. Roles decide who can send, who can change settings and who can use which number, instead of whoever happens to hold the phone.

WhatsApp Business app or a team inbox?

Plenty of small businesses start on the free WhatsApp Business app, and it is good at what it was built for: one person, one phone, a steady trickle of chats. The limits appear when a team, a subscriber list or a campaign enters the picture.

One practical point: a number that is active on the WhatsApp Business app has to be moved to the Business Platform (the Cloud API) before a platform tool can use it, or you can connect a new number. Can multiple agents use one WhatsApp number?

Yes. On the WhatsApp Business Platform, messages go to Meta's servers and then to your software over a webhook, rather than living on a single handset. Every teammate signed in to the inbox sees the same conversations and replies through the same number. The customer doesn't see which agent wrote, only your business name.

That is also why a shared inbox needs agreed habits. When five people can reply, you need a clear answer to "who's got this one?" More on that below.

How does the 24-hour window affect a team inbox?

When a WhatsApp user messages you or calls you, a 24-hour timer called a customer service window starts. If the user messages or calls you again before the timer expires, the timer resets to 24 hours.

While the window is open, your team can reply in free text. Once it closes, Meta says "you can only send pre-approved template messages." For a team, this turns response time into a hard deadline, not just good manners. A question left overnight in the queue may already be outside the window by the time someone opens it.

How Buddy's team inbox works

Buddy splits conversation work across two pages, because most teams have two different jobs: keeping up with every chat, and acting on the replies that campaigns bring in.

Inbox: every conversation in one place

The Inbox lists every WhatsApp conversation with your business, newest first, with the last message and time. Open one to see the thread, including replies sent by your automations, and reply in free text from your connected number. New messages and delivery statuses appear on their own without a refresh. On a phone the list and the conversation stack; on a desktop they sit side by side.

Responses: replies sorted by intent

When people reply, to a WhatsNew or anything else you've sent, Buddy's Responses page sorts those replies into five categories using keyword rules, so your team can work down a list of people who want something instead of scanning every chat. Filter by category, open a reply and answer it in place, with a few quick-insert phrases to speed things up.

Suggest a reply with AI

When Buddy AI is enabled, the Inbox shows a Suggest a reply with AI button. It reads the last 12 messages in the conversation and drafts a warm, one-to-three-sentence reply in the customer's language. It is instructed not to invent prices, policies or facts, and to offer to check instead. The draft lands in the reply box; a person edits it and decides whether to send. Roles and per-number access

A team inbox is only safe if people can do their jobs without being able to break things. Buddy has three roles.

Owners and admins invite teammates as Admin or Member from Settings. For businesses with more than one number, say a sales line and a support line, or numbers in different countries, the WhatsApp accounts page lets owners and admins decide which members can send campaigns from each number. Owners and admins always have access; once a number is restricted, only the members granted access can send campaigns from it. The Inbox itself stays shared: everyone in the workspace sees the same conversations.

What Buddy's inbox doesn't do today

We'd rather you know before you choose. Buddy's inbox is shared: everyone with access sees the same conversations. It doesn't currently assign conversations to named agents, hold internal notes on a thread, or run SLA timers. Many small and mid-sized teams don't need those, and the habits below cover the gap. If assignment rules are essential for your operation today, factor that into your decision, and talk to us about what you need.

Habits that keep a shared WhatsApp inbox fast

Tools help, but response times come from habits. These are the ones we see work.

  1. 1Set a response target you can keep. For example, "within two working hours". Tell customers in your automated acknowledgement, and treat anything close to 24 hours as urgent because the window is about to close.
  2. 2Triage in a fixed order. Purchased and Interested first (money and momentum), then Question, then Follow up, then Not now. The Responses filters make this a two-click routine.
  3. 3Split by category, not by chat. Without assignment, the simplest ownership rule is by category: sales takes Interested, support takes Question, and one person sweeps Follow up at set times.
  4. 4Use tags as hand-off notes. Tag a contact needs-manager or refund-request so the next person knows what's going on at a glance.
  5. 5Staff up before a campaign. A WhatsNew to thousands of people brings replies in a wave. Schedule sends for when your team is online, not Friday at 6pm.
  6. 6Answer in one message. Complete answers are kinder to customers and, from October 2026, cheaper than a string of short replies.
  7. 7Never guess. If an AI draft or a teammate's memory isn't certain about a price or policy, say you'll check. A wrong answer costs more than a slow one.
  8. 8Make the human route obvious. Meta's policy requires "prompt, clear, and direct escalation paths" when you automate. Keep a phone number or email in your automated replies, and a keyword like HUMAN that notifies the team.

Fast, helpful replies also protect your number. Meta's quality rating reflects how people respond to your messages, including blocks and reports, and it affects how far you can scale your sending. Customers who get a quick, useful answer rarely block. The Business Messaging Policy is worth a read for everyone on the team.

How to handle messages after hours

Customers message at midnight. You don't have to answer at midnight, but you should acknowledge. A simple Buddy automation does it: trigger When a message comes in with no keyword, then Send a message saying when the team is back and how to reach you if it's urgent. Buddy automations run around the clock and don't check office hours, so switch this one to Paused in the morning and Active at close, or keep the wording general enough to be true at any hour ("We reply within a few hours, 9am to 6pm Monday to Friday").

Remember the window: if a customer writes at 11pm on Friday and nobody replies until Monday morning, the window has closed and you'll need a template to reply. Weekend cover of even an hour a day avoids that.

How to measure your team inbox

Buddy's Insights page shows your reply rate across all sends, and the Responses page counts replies in each category, so you can see how many interested replies came in after a campaign. Track three numbers weekly: how many replies arrived, how many were Interested or Question, and how many opt-outs followed a send. Frequently asked questions

Can two people use the same WhatsApp Business number at once?

Yes, on the WhatsApp Business Platform. With a team inbox such as Buddy, every teammate signs in and replies from the same number at the same time. Customers see your business name, not the individual agent.

What happens if my team replies after 24 hours?

WhatsApp won't deliver free text once the 24-hour customer service window has closed. You need an approved template to restart the conversation. Buddy tells you when this has happened and points you to Campaigns to send a template.

Do I pay for replies from a team inbox?

From 1 October 2026, Meta charges per message for replies sent inside the customer service window, at the utility rate for the recipient's market. Meta bills your own WhatsApp Business account directly. Buddy's plan is separate and listed on the pricing page.

Can I restrict which agents use which number?

Partly. In Buddy, owners and admins can choose which members may send campaigns from each number on the WhatsApp accounts page, and owners and admins always have access to every number. The Inbox is shared, so everyone in the workspace sees the same conversations.

Does Buddy use AI to reply to customers automatically?

No. Buddy AI can draft a suggested reply in the Inbox, but a person always reviews and sends it. Automated replies come only from automations you set up yourself.
